How to format a news release

  • Write the release on your organization's letterhead or special news release letterhead containing your organization's name, address and telephone number.

  • Place "FOR IMMEDIATE RELEASE"(appropriate embargo) at upper left-hand corner of page.

  • Centre the headline below the "release" slug (make sure that it contains the most newsworthy element of the story).

  • Begin the text of the release with the dateline, which contains the name of the city (and province, state or country if the city is not well known) and the full date.

  • The text should be double-spaced and written on only one side of the page.

  • End each page at the end of a paragraph, write "more" at the bottom of all but the last page and number each page but the first.

  • Centre "-30-" "End" or "###" at the bottom of the last line of text, followed by the name, title and day and after-hours phone numbers of the contact person.
